The constant volley of emails suggesting times, checking calendars, and hoping for alignment can be a major productivity drain.
But what if there was a way to simplify this process without leaving your inbox?
Here's a Cool Tip: Use Gmail's "Set up a time to meet" feature.
Gmail's "Set up a time to meet" feature is a streamlined way to schedule meetings directly within your email..
It provides two main options:
- Offer times you're free: This allows you to select multiple available time slots from your Google Calendar and insert them directly into the email for the recipient to choose from.
- Create an event: This opens a calendar event creation window where you can fill in the details. Once saved, a summary of the event is automatically added to the email body.
This feature aims to reduce the back-and-forth communication typically involved in finding a mutually agreeable meeting time, making scheduling more efficient and less time-consuming.
It's particularly beneficial for individuals who frequently coordinate meetings via email.
Here's how to do it.
- Log into your Gmail account: https://mail.google.com/.
- Open a new email or reply to an existing thread.
- At the bottom of the compose window, you'll see a new option: "Set up a time to meet."
- Click on it.
- You have two choices:

This feature is a major time-saver, streamlining the often tedious process of scheduling meetings.
By integrating scheduling directly into your email workflow, you eliminate the need to constantly switch between your inbox and calendar.
The automation of event creation further boosts efficiency, removing manual steps and potential errors.
While the feature offers numerous benefits, it's worth noting that its full potential is realized when all parties involved use Gmail and Google Calendar.
If someone relies on a different calendar system, coordination might still require some back-and-forth.
Gmail's meeting scheduler is a powerful tool that promises to save you time and frustration.
So, the next time you need to set up a meeting, give this feature a try and experience the difference firsthand!
