Do you need to survey a group of people but don’t have the time to manually track everyone’s responses?
Here’s a Cool Tip. Use Microsoft Forms to gather feedback electronically.
If you have a Microsoft 365 (M365) account, you can leverage Microsoft Forms to share information, collect responses, and keep everything organized.
Here’s how to do it
- From the M365 Home page, select Forms from the Apps menu.
- Format: Explore pre-built templates for Surveys, Invitations, and more! Or select “New Form” to build your own from scratch.
- Structure: Give your Form a Title, add details to specify what recipients need to know, and then ask the questions you need answered. You can choose from several field types and even define required fields – so no one can claim they “didn’t see that one!”
- Style: Click the palette icon with the tiny lightning bolt. Have some fun and make it yours! Adjust the layout, add images, and you can even add music!
- Preview: See what your recipients will see! Make sure everything displays to your recipients as you envisioned.
- Collect responses: You are no longer limited to a single method of engagement! Send an email directly from the app, copy the URL and share it in a group text, or download the unique QR code and print physical cards to hand out.
- View responses: The app provides a dashboard overview of all responses collected, or you can choose to Open results in Excel to view each response line-by-line.

Gone are the days of invites and RSVPs getting lost in the mail, or folks missing out because you created a Facebook event and they only use X (formerly known as Twitter). All you need is one viable method of contact and each of your recipients will be directed to the same web page where they can enter their information. Plus, the app tracks responses for you, so you can sit back and relax once you hit “Send.”
Microsoft Forms is a great way to gather feedback, but it does not include a mechanism to keep track of who you shared the form with, so you may still need to track that manually if necessary. Also, the Forms app is only available as part of a Microsoft 365 paid subscription. A Microsoft 365 Personal account will run you $6.99/month ($69.99/year), while a Family account supports 1-6 people for $9.99/month ($99.99/year). Microsoft offers a one month free trial of Microsoft 365 Family, and business plans are also available HERE.
Trying to keep track of who is bringing what to your summer shindig? Use Microsoft Forms to capture the names of attendees, number of additional guests, and what dish(es) they will bring to share.
Coordinating a holiday lights competition within your neighborhood? Use Microsoft Forms to provide a list of participating addresses and let recipients vote for their favorite.
The possibilities are endless with Microsoft Forms. With a little bit of planning up front, paired with a variety of ways to engage your audience, you’ll be collecting usable data effortlessly in no time.
